Who we are

This notice is provided by SUMA Holdings, Inc., a Delaware corporation headquartered in Florida (“SUMA,” “we,” “us,” or “our”). It explains how we collect, use, and share personal information.

Scope

This notice covers personal information we handle in connection with:

  • this website, including inquiries, messages, and demo bookings;
  • SUMA’s intelligence platform, used by the businesses that own, operate, or manage properties and other places (“customers”);
  • feedback and communication channels that SUMA operates for a customer, where offered, including any text-messaging channels from earlier SUMA services that remain in operation.

Two ways we handle information

For our own purposes. We decide how to use information about website visitors, people who contact us or book a demo, our business contacts, and the users of customer accounts we administer.

On behalf of customers. When a customer uses SUMA, we process information the customer provides or directs us to collect, such as operating records, documents, and feedback from residents, tenants, guests, employees, or other people connected to a place. That processing is governed by our agreement with the customer and is also subject to the customer’s own privacy notices. We remain responsible for handling that information as this notice, our agreements, and applicable law require.

Information we collect

  • Contact and account information: name, email address, phone number, company, role, and login details for platform users.
  • Feedback, messages, and observations: what you tell us or a customer through a feedback or communication channel, and observations recorded by customer teams.
  • Operating records and documents: records and files a customer provides, such as service logs, work orders, surveys, reports, and contracts, which may contain personal information.
  • Questions and content submitted in the platform: questions users ask and content they enter or upload.
  • Technical and usage information: IP address, browser and device type, pages viewed, and similar information recorded by our hosting provider and the services described under “Cookies and embedded services.”
  • Connected services and public sources: where a customer chooses to connect them, information from the customer’s other systems, and publicly available information relevant to a place, such as public reviews.

How we use information

  • To deliver the platform: mapping information to a customer’s standards, analyzing it, preparing findings and recommendations, and answering users’ questions.
  • To respond to inquiries, arrange demos, and manage our business relationships.
  • To administer accounts, provide support, and communicate about the service.
  • To maintain, secure, and improve our services.
  • To comply with law and protect rights, safety, and property.

We use artificial intelligence (AI) to help organize information, connect observations, and draft analysis and responses. AI output can be incomplete or wrong, and customers assess it before acting on it.

Processing information to deliver the service is different from using it to train AI models. How customer information may be used for model training or improvement is governed by our agreements with customers and with our service providers.

Who can see information

Customers decide who in their organization has access to SUMA. Depending on how a deployment is set up, the customer’s designated users and the SUMA personnel who support that customer may be able to see individual feedback, quotations, source records, and details that identify the person who provided them.

Showing results in summary form does not by itself make a submission anonymous. A submission is treated as anonymous only where the channel says so at the point you submit it. If you have questions about a particular channel, contact the business that operates the place or contact us.

How we share information

  • With customers, as described above, for information processed on their behalf.
  • With service providers who help us operate, including hosting, AI processing, communications (such as email and messaging), scheduling, and form handling. They may use the information only to provide services to us.
  • For legal reasons, where required by law or legal process, or to protect rights, safety, and property.
  • In a business transfer, such as a merger, acquisition, financing, or sale of assets.

We do not sell personal information.

Text messaging

Where SUMA operates a text-messaging channel, sending a message lets us reply about that request. It is not consent to unrelated marketing. Message frequency varies, and message and data rates may apply. Reply STOP to stop receiving messages, or HELP for help.

Cookies and embedded services

This website is hosted by a third-party provider that records standard technical information when pages are requested. Some pages load fonts from Google. The demo booking page embeds Google Calendar’s appointment scheduling, and messages sent through the contact form are handled by our hosting provider. These services may set cookies or collect technical information under their own privacy notices.

You can limit cookies through your browser settings. Where applicable law gives you other choices about cookies or similar technologies, we will honor them.

Retention and security

We keep personal information for as long as reasonably needed for the purposes described here, to meet our agreements and legal obligations, and to resolve disputes. Information processed for a customer is kept and deleted in line with our agreement with that customer. We use administrative, technical, and physical safeguards designed to protect personal information, but no method of transmission or storage is completely secure.

Your requests

You can ask to access, correct, or delete your personal information, or to stop receiving marketing from us, by contacting us below. Depending on where you live, you may have additional rights, and we will respond as applicable law requires.

If your request concerns information we process for a customer, such as feedback you gave about a property, we may refer you to that customer and will help the customer respond as our agreement requires.

Changes to this notice

We may update this notice. The date at the top shows the current version, and material changes will be posted on this page.
